Preparing for the New School Year (Year Transition)

At the end of the school year, students in Group 8 will leave the school, and all other students will move up to the next group. As a school administrator, it’s important to ensure everything is ready for the upcoming school year in Ziber.


When Should I Prepare for the New School Year?

What is the right moment to prepare for this in the Ziber Team app (and Kwieb app)? Until the end of the school year, teachers still need to be able to send messages to the current groups. At the same time, it’s helpful for new parents to receive an invitation to the Kwieb parent app before the new school year begins.


Recommended Timing for the Year Transition

We recommend not starting the year transition while the current school year is still in progress, so that teachers can continue to reach Group 8.

Best practice: Begin the year transition at the end of the summer break or at the start of the new school year, so new parents can receive an invitation in time.

⚠️ Note: When sending new parents an invitation, the code to link their child is valid for 14 days. ✅ Tip: Coordinate the timing of the year transition within your team to ensure clarity for everyone.


What Happens After the Transition?

Once you’ve switched to the new school year, the group structure will be updated.

  • You will no longer be able to contact Group 8 parents (graduates).

  • Parents of former Group 8 students can still log in and view historical information that was shared with them in Kwieb.


How Do I Transition to the New School Year?

The process depends on how your student information system (LAS) is linked to Ziber:


If You Have an Automatic Link (ESIS or Parnassys)

You can initiate synchronization yourself from the Ziber Dashboard.

Parnassys

  • After preparing your school administration for the new year, click the synchronize button when you want the new group structure to become active.

  • You'll be asked which school year to synchronize.

  • Select the new/upcoming year, and the changes will be effective the next day.

ESIS

  • If you synchronize after August 1, the system automatically transitions to the new school year.

  • Synchronization before August 1 is not possible.


If You Use a Manual EDEXML Export

When exporting EDEXML from your LAS (Parnassys, Esis, etc.), you can set a reference date. This allows you to export the new year's data at the end of the current school year.

  • August 1 is the default start date of the new school year.

  • Tip: Set the reference date in the future (e.g., two months ahead) to include new incoming students.
