Inviting Parents in Bulk via the LAS Integration

Summary With the automatic LAS integration, you can easily invite parents to Kwieb as soon as students are imported. This streamlines the process of inviting parents whose email addresses are not yet linked to a child profile.


Bulk Inviting Parents

Step 1: Notification After LAS Import

  • After a successful LAS import, you'll receive a notification in the student management section if there are child profiles without linked parent email addresses.

  • The notification includes:

    • The number of parents who still need to be invited.

    • A button to directly invite all of them at once.

Note: Only email addresses for unlinked parents are included from the LAS. If a parent is already linked, any changes to their email in the LAS will not update the invitation or linked account in Ziber.

Step 2: Overview of Pending Invitations

  • You’ll see a list of students whose parents are about to be invited.

  • Only the email address is shown initially; first and last names will appear after the parent creates an account.

Step 3: Send the Invitation

  • Once you send the invitation, parents receive:

    • An email with a unique child code.

    • Instructions to connect their child in Kwieb using the child's date of birth for verification.

Tip: The invitation is valid for 14 days. You can send a reminder after 3 days if the parent hasn’t responded.


Inviting Non-Dutch Speaking Parents

Change the Language of the Invitation

  1. Go to the student's profile.

  2. Under Ready to invite, locate the parent’s email address (imported from the LAS).

  3. Click to select the desired language for the invitation (e.g., English, Polish, Turkish).

  • In the student overview, you can clearly see which students/parents have a different invitation language set.


Best Practices

  • Always check for notifications after each LAS import regarding unlinked parent email addresses.

  • Adjust the language of invitations before sending them, especially for non-Dutch speaking parents.

  • Plan a reminder after 3 days for parents who haven’t yet responded.


FAQ

What happens if a parent’s email is changed in the LAS? This has no effect on already linked parents or sent invitations. The existing link in Ziber remains unchanged.

Can I see which invitations have been accepted? Yes, the student profile shows whether a parent is already linked or if the invitation is still pending.
